Multi-Custodian Account Opening Workflow

Let’s explore how a typical Account Opening process is implemented in Invent Cloud using workflow automation

This process is fully configurable — each form can be customized per tenant, product, or custodian, and workflow routing can be tailored based on firm policies, advisor assignments, or compliance structures

Workflow Steps

Task: Advisor Completes the Application

The process begins with a task assigned to a Financial Advisor to complete an onboarding form on behalf of the client

The form can be fully customized to match firm branding, custodian requirements, and product-specific needs. Fields, layouts, validations, and prefill logic are all configurable via Invent Console

Validation & Substitution

After submission, Invent Cloud automatically validates and transforms the application data using preconfigured rules — including field normalization, default values, and compliance flags

Common substitutions include address formatting, rep code mapping, account type standardization, and risk classification

Compliance Department Review

The application enters a review queue for Compliance

The routing logic is fully configurable — workflows can assign tasks based on product type, geographic region, rep group, or priority level.
The assigned reviewer can approve, reject, or return the task for edits with embedded comments

Client Signature

Once approved, the client receives a task to digitally sign the application using a secure e-signature provider (e.g., DocuSign, Adobe Sign).
The signature task supports multi-device workflows, enabling clients to complete the process on desktop or mobile

Clients can either receive an email with a direct link to sign, or log into the Client Portal to review and complete the signature step within their personalized dashboard

Submission to Custodian

After signature, the application is converted to the custodian’s required format (PDF, XML, JSON, etc.) and automatically submitted via API or secure delivery protocol.
Supported custodians include Firelight, Schwab, Pershing, and more

Invent integrates with custodians through a variety of channels — including Direct APIs, Form-Based Submissions, and SSO workflows — ensuring flexibility across different custodian onboarding methods

NIGO Handling (Not In Good Order)

If the custodian responds with a NIGO status, Invent Cloud automatically triggers a correction workflow, notifying the Advisor (or designated operations user) with a prefilled form and resolution instructions.
Once resolved, the application is re-submitted — all steps are auditable and versioned

After a NIGO is detected — whether from the custodian side or during internal approval — a new task is automatically created and routed to the responsible user (e.g., Advisor, Client, or Compliance) for resolution
